County OKs $500K for record management

Colorado County commissioners approved a $559,157 proposal for record management that would allow easier browsing and searching of general information within the county.

The proposal, sent in from Kofile Technologies, Inc. for custom indexing and image splitting for County Clerk’s records project, would authorize the County Clerk to use the Records Management and Preservation Fund for the aforementioned cost.

The proposal is a continuation of a project started in 2020, with the main objective being to get everything loaded in the Colorado County database.

Data transfers will begin in September, where members of the public will now be able to search all of the documents in the county clerk’s office by name. 

Colorado County Judge Ty Prause says that he and the other commissioners are delighted to hear the update but were first thrown off by how much the proposal would cost.

“I had to read it to commissioner Brandt myself,” said Prause. “That’s why I read the amount out loud. I wanted to make sure I wasn’t screwing that up, because you said over a half million dollars. But I’m delighted to hear that we budgeted for it, or we had talked about that records management fund or the amount in there.”

Commissioners also approved jailhouse work of $51,000 to be done in regard to repairs and additional addons at the Colorado County Jail.

The multiple repairs include a new window by the exercise area, new fire alarm wiring and modules, a light that needs to be replaced and food dispersion becoming a sanitary issue.

The county was also given authorization to apply for the Lower Colorado River Authority Community Grant for physical and technological updates for the new County Emergency Operations Center.

The funding opportunity opens up in July and will be open from July 1 through July 31. The maximum award amount is up to $100,000, and there is a 20% required match for any request over $5,000.
